The successful candidate will coordinate and manage the scheduling of all clinical staff, organize schedules, and assist in the interviewing and hiring of appropriate staff. We are seeking an articulate, organized individual who is knowledgeable in Microsoft Office and able to operate all office equipment. White Oak of Tryon is an Equal Opportunity Employer. #MP2 DEPARTMENT: Nursing SUPERVISOR: Director of Nursing / Assistant Director of Nursing PURPOSE: To devise and implement a routine staffing schedule for nursing personnel to adequately meet State and Company standards and needs of the residents. WORKING HOURS: Hours of work are 75 to 80 hours per pay period plus or minus as business needs and assigned by the Director of Nursing / Assistant Director of Nursing. THIS PERSON REPORTS TO: Director of Nursing / Assistant Director of Nursing. WORKING CONDITIONS: Works in well-lighted, well-ventilated nursing stations and office areas. May walk, sit, stand, bend and lift intermittently during the workday. Will be subject to frequent interruptions. HIPAA MINIMUM NECESSARY: Responsible to adhere to HIPAA MINIMUM NECESSARY guidelines and safeguard protected health information. EDUCATION AND QUALIFICATIONS: Must have at least the equivalent of a high school diploma. Must be in good mental and physical health and exhibit willingness to cooperate with Nursing Service personnel, as well as other department personnel. One year of experience in a health care facility or training in the position previously desired. Must have patience, tact, a cheerful disposition and enthusiasm. Must be able to respond positively and exhibit support for the facility and programs. DUTIES AND RESPONSIBILITIES: Devise and implement routine staffing schedule for all Nursing service personnel, to include appropriate allowance for the scheduling of earned vacation time, paid time off, and other applicable benefit hours while ensuring adequate staffing is on hand to meet State and Company standards and the needs of the residents. Make phone calls to fill open shifts when necessary for call outs. Schedule should be updated daily to reflect absences, tardies and changes in personnel. Produce a daily staffing report for the nursing units, which includes unit and shift assignments for RNs, LPNs and CNAs ensuring adequate staffing is on hand to meet State and company standards. Composition of daily staffing patterns reflective of scheduled hours of labor anticipated for nursing employees on each shift, to include changes/additions/deletions as they occur. Make and deliver copies for each unit. Be sure all PTO and vacation slips are turned in to Personnel Director timely. Check facsimile, as printed by personnel, for missed punches. Inform DON of errors for her approval of changes. Make corrections on the sheet and return to Personnel Director. Verify for payroll that all hours are correct and track hours properly, noting variance in established schedule. Responsible for maintaining the paid time off and vacation usage records in current status for all nursing service personnel. Is knowledgeable of approved budget hours for nursing categories and approved staffing for each day, each shift and of how nursing budget operates. Maintains a current listing of home telephone numbers and emergency contact telephone numbers for nursing service personnel. Assist DON with verification of licensure, CNA certification, provided by applicants for employment with nursing services and checking references for employment. May serve as back-up for Data Entry and may relieve Data Entry for days off, etc., as needed. May assist with clerical duties such as routine filing for the DON or SDC. Assist in answering telephone and inter-com system as needed. Demonstrate competency using current clinical software system. Other duties as may be assigned by the Director of Nursing Assistant DON.
